Home Medical Equipment Rental Policy

At E Care Medical Supplies, our goal is to make renting home medical equipment simple, clear, and stress-free. This Rental Policy explains how our rental process works, what to expect during your rental period, and how we can work together to ensure a smooth experience.

By renting equipment from us, you agree to the guidelines below. If you ever have questions or need assistance, our team is always happy to help.

Healthcare Disclaimer

At E Care Medical Supplies, we provide quality medical equipment for your home care needs. However, it's important to note that our team is made up of equipment specialists, not licensed healthcare professionals like doctors or nurses.

We do not offer medical advice, diagnoses, or treatment recommendations. Before selecting or using any of our rental equipment, we strongly recommend that you consult with a licensed healthcare provider to ensure it’s the right fit for your care needs.

Physical Assistance & Contact Disclaimer

For your safety and ours, E Care Medical Supplies does not provide hands-on physical assistance. This includes lifting, transferring, repositioning, or assisting with patient care in any way.

While our team is happy to show you how to use the equipment and explain its features, any physical assistance with using the equipment must be provided by caregivers, family members, or licensed healthcare professionals.

Rent First, Then Decide to Buy – Apply Rental Credit Towards New Equipment

We understand that choosing the right medical equipment can be a big decision and investment. To help you feel confident in your choice, we offer a Rent First, Then Buy option:

  • Try Before You Buy: Rent select medical equipment and test it out at home before committing to a purchase. This allows you to ensure it’s the right fit for your needs.
  • Apply Rental Credit Towards a New Purchase: If you decide to purchase new equipment, we offer a fantastic benefit: we’ll apply a portion of your rental fee as credit toward the purchase price of new equipment (not the rental equipment). The rental credit can be applied before your current rental term ends, giving you a seamless transition from renting to owning the equipment that’s right for you.

Limited-Time Special Deal!
For a limited time, if you decide to purchase new equipment during your rental period, we will waive the delivery and installation fee on your new equipment! This offer applies only if we’ve delivered your rental equipment. We’ll deliver your new equipment and pick up the rental at the same time, making your transition seamless and hassle-free.

Please note: the credit applies only to new equipment purchases. Rental delivery fees are not eligible to be applied as credit toward the purchase.

These terms are subject to change, so be sure to contact us for the latest details or if you have any questions about the process.

Rental Equipment Ownership

All rental equipment remains the exclusive property of E Care Medical Supplies, LLC. Renting equipment provides temporary use only and does not transfer ownership.

We do not offer rent-to-own or lease-to-own programs. Regardless of rental length, the equipment must be returned at the end of the rental period.

Equipment Rental Approval

In rare cases, we may be unable to proceed with or continue a rental due to payment authorization issues, safety concerns, or incomplete information. Our goal is to make sure you get the best possible experience and that the equipment is safe and appropriate for your needs.

If this happens, we’ll work with you to explain the next steps and provide alternative solutions whenever possible.

Rental Deposit & Payment

To ensure availability and timely service, full payment is required before rental equipment is delivered or released. Rental periods begin on the scheduled delivery or pickup date.

  • Deposit requirement: We do not require a deposit when a major credit card is used. For all other forms of payment, a deposit is required to confirm your rental.
  • Accepted deposit methods: Major credit cards or cash.
  • Not accepted for deposits: Debit cards, prepaid cards, gift cards, Zelle, HSA/FSA cards, CareCredit, or any other alternative payment methods.
  • Automatic charges: If rental equipment is not returned and a pickup has not been scheduled by the due date, rental charges will automatically continue and be charged to the approved credit card on file.
  • Authorization on file: By renting equipment, the customer authorizes E Care Medical Supplies to charge the approved payment method for rental extensions, additional rental periods, late returns, damages, or recovery costs, as applicable.

To avoid additional charges, customers are responsible for scheduling equipment pickup or return prior to the rental due date. Please contact us if you need to extend your rental or have questions about billing.

Rental Extensions & Payment Terms

To ensure fairness and consistency, you cannot pay the difference to extend a current rental period. You must wait until the end of the current rental term before making a new rental agreement. Each new extension is treated as a new rental agreement and will be charged for the full new rental period.

If you need to extend your rental, you can choose a full month, week, or other rental term after the current period ends. If you need extra time, please contact us in advance.

No Refunds or Exchanges

All rental payments, delivery fees, and service charges are non-refundable. Rentals cannot be exchanged once equipment has been delivered or released.

Trip Charges & Missed Appointments

If a delivery or pickup is scheduled and the renter is unavailable, does not answer the door, or cannot be contacted, a trip charge may apply to cover the service visit.

Right to Refuse or Terminate Rental

E Care Medical Supplies reserves the right to refuse, suspend, or terminate a rental if payment requirements are not met, equipment is misused, or safety concerns arise.

Rental Equipment Retrieval

If rental equipment is overdue, unpaid, or used in violation of this policy, E Care Medical Supplies may arrange retrieval of the equipment. Any associated recovery costs may be charged to the renter.

Rental Charges & Delivery Fees

Please note the following regarding rental fees and delivery charges:

  • Rental Fees Are Not Prorated: Our rental fees are charged for the full rental period, and we do not prorate for partial periods. If you need the equipment for part of the rental period, the full rental charge will still apply.
  • Delivery Fees Are Non-Refundable: Delivery fees are non-refundable once the equipment is delivered. If the equipment is refused for any reason upon delivery, the delivery fee will still apply and will not be refunded. Please ensure you're ready for the equipment when we arrive to avoid any additional charges or scheduling conflicts.

We ask that you please review the delivery area to ensure it's accessible and clear of obstacles before our team arrives. This will help avoid any additional charges or delays in getting the equipment to you.

Charges & Cancellation

  • Rental fees are not prorated
  • Delivery fees are non-refundable
  • Cancellations may result in a reservation fee

Delivery

We’ll deliver your rental equipment right to your door at the agreed-upon time. For your safety, our team is unable to move furniture, remove obstacles, or disassemble any equipment not provided by E Care Medical Supplies.

Please make sure the delivery area is clear and accessible when we arrive to ensure a smooth, hassle-free delivery.

Moving or Relocation of Equipment

If you need to move the rental equipment to a different room, home, or care facility, please contact us ahead of time. All moves must be arranged and approved through E Care Medical Supplies.

  • Authorized handling only: For your safety, only E Care Medical Supplies staff are trained to move or relocate rental equipment.
  • Service charges may apply: If you need to move, relocate, or reinstall equipment, additional fees might apply.
  • Proper setup is important: Some items need to be placed and set up properly to ensure they work safely. Unauthorized moves may cause safety issues or damage.
  • No self-moving: We kindly ask that customers, caregivers, or third parties do not move the equipment without our approval.

Equipment Pickup & Returns

To schedule a pickup, we ask for at least a 72-hour notice. Please call us during business hours to arrange this.

  • After-hours service: We do not offer pickup scheduling outside regular hours.
  • Trip charges may apply: If you miss a scheduled pickup appointment, a trip charge may apply to cover the service visit.

Right to Refuse or Terminate Rental

To ensure the best experience and safety for everyone, E Care Medical Supplies reserves the right to refuse, pause, or cancel a rental agreement if there are issues with payment, misuse, safety concerns, or policy violations.

Loss, Theft, or Failure to Return Equipment

You are responsible for the rental equipment from the moment it’s delivered or picked up until it’s returned to E Care Medical Supplies.

  • If the equipment is lost, stolen, or not returned, you will be responsible for the full replacement cost.
  • Rental charges will continue until the equipment is either returned or the issue is resolved.
  • Failure to return equipment may result in retrieval actions and associated costs.

Damage Beyond Normal Wear

We understand that normal wear is expected with proper use, but damage caused by misuse, improper handling, exposure to moisture, or modifications may lead to repair or replacement charges.

Proper Use & Safety

Your safety is our priority. All rental equipment should be used only for its intended medical purpose and in accordance with the manufacturer’s instructions as well as any guidance provided by E Care Medical Supplies.

  • No modifications: Please do not alter, adjust, modify, or customize the equipment in any way.
  • No disassembly: Renters may not disassemble or attempt repairs on the rental equipment.
  • Indoor use only (unless specified): Keep the equipment in a clean, dry, indoor environment. Do not move it to garages, outdoor areas, or storage spaces unless it’s designed for that purpose.
  • Keep equipment dry: The equipment should not be exposed to water or moisture unless it is specifically designed for use in wet areas (e.g., showers, bathrooms).
  • Do not relocate without approval: Please don’t move the equipment from the original location without our approval to avoid any operational issues.
  • Follow weight and usage limits: Use the equipment only within the manufacturer’s recommended weight and operational guidelines.

Any use outside these guidelines may lead to damage, safety risks, extra charges, or early termination of the rental agreement. If you have any questions about proper usage or setup, don’t hesitate to reach out to us.

Indemnification & Liability

By renting equipment from E Care Medical Supplies, you agree to indemnify and hold us harmless from any claims or damages that arise from your use of the equipment, except in cases of our gross negligence or willful misconduct.

Although we carefully provide high-quality equipment, normal wear and tear or manufacturer defects may cause the equipment to malfunction. E Care Medical Supplies is not responsible for any indirect or consequential damages that result from equipment use.

Governing Law

This Rental Policy is governed by the laws of the State of Texas, and any legal matters will be addressed in courts located in Houston, Harris County, Texas.
